5 tips for a group trip

Making a group trip is no easy task – this guy wants go to Madrid, the other one to Barcelona, someone doesn’t want to share the same room with so and so, someone can only travel on that date but you’re travelling with your girlfriend then…It’s a real mess. As we are experts on organizing parties and group trips, we venture to give you 5 tips on how to make a group trip.

1. Planning the trip ahead of time

 As a general rule, the more time you have for planning your group trip, the better. Yes, there are unexpected last-minute trips that turn out to be the most fun ones. Picking the date for your group trip is one of the first things you have to do in order to get better deals and available seats in your preferred transportation means (particularly on an airplane) as well as accommodation.

2. Choose a group leader

Let one of you guys be in charge of the whole thing. It will make the trip organization run much smoother. With groups of more than 20 people we recommend having one person in charge for the whole thing and two or three assistants. The leader will have to coordinate the demands and needs of the group members and liaise with the travel agency and companies offering other activities you may want to hire.

In terms of tools for communicating with the group members, we recommend using e-mail or creating a closed Facebook group. In the Facebook group you can set up a survey and vote on the decisions that have to be made, though in our experience the best tool to help you plan and vote on group activities is Doodle.

3. Set a budget per person

One of the most contentious points in planning a group trip with friends is the budget per person, since not all members have the same economic means. So setting a tentative budget is always a good idea because it may be the decisive factor for those who aren’t sure if they’re coming.

4. Choose A Great Destination

Once the dates and the tentative budget per person are all settled, it’s time to discuss all the possible destinations of the trip. They will depend on the duration of the trip, the budget, availability of transport and of course whatever it is that you are looking for – sun and beach, islands, party, a city with museums …

5. Transport and accommodation

Transport and getting there is obviously an important factor when making a group trip. Keep in mind that if you’re travelling by plane, departure flight on Tuesdays, Wednesdays and Saturdays usually have special discounts for groups.

Accommodation is another thing you have to get right in order to enjoy a group trip. On the one hand, you have the option to get it all-inclusive at a hotel which, in cases of long trips, may help you avoid arguments on tidiness and cleanliness. On the other hand, you can opt for an apartment which we’d recommend for a stay of up to three nights because of the sense of independence it gives you.
